For artists who register, claim or run a profile on Art Roll - including how we handle your information.

About these terms

These terms apply if you register for, claim or control an artist profile on Art Roll. By creating or claiming an account you agree to them and to the Website & Map Terms. The section “Your information” below is the artist part of our Privacy Policy: what we collect from you, what is public, what stays private, and what you can do about it. The Privacy Policy covers the rest - what happens when you browse the site, the cookies and tags we use, who our providers are and where your information is stored.

Who can have an artist account

Artist accounts are for practising visual artists aged 18 or over who can show an active body of original creative work - a portfolio, website, public social profile or something similar. Emerging artists are welcome as long as you have a developing body of work and are actively building your practice. By registering you confirm that you are at least 18 and that what you tell us about yourself and your practice is accurate. That is a self-declaration: we do not collect a date of birth and do not verify age, but a person reviews every profile before it is published.

Approval and review

A person at Art Roll reviews every new profile before it is published, and reviews changes to an approved profile, new murals and cultural identity entries before they go live. We may ask for reasonable evidence of your identity, your practice, or your connection to an existing unclaimed profile. Creating an account does not guarantee that a profile, mural or change will be published; we may decline, pause or remove a profile where reasonably necessary for eligibility, safety, accuracy, moderation or legal reasons, and will tell you why where we can.

Your information

What we collect when you register

Registration asks for your first name, last name, art alias, email address and password, and a confirmation that you are 18 or over. Your password is handled by our authentication provider and stored as a secure hash; we never see it. We also ask you for a portfolio, website or public social profile so we can see your work before your profile is approved.

What is public and what stays private

Your public profile can be seen by anyone on the internet, may be indexed by search engines, and can be copied or cached outside Art Roll’s control, so publish only what you are comfortable making public. It shows: your art alias and profile address; your first and last name unless you turn that off (see below); your avatar and header images and the crop you chose; biography, artist story and a short description; artwork styles; career stage; the year and month you started; largest mural; local government area, travel area and country; website, Facebook, Instagram and YouTube links; exhibitions, awards, insurances, tickets and qualifications; whether you are taking mural enquiries; your mural count; the date the profile was created; whether the profile has been claimed; and any cultural identity or community connection entries you have consented to publish.

Your private information is never shown on the public site, and the public site reads artist profiles through a restricted database view that structurally cannot return it. Private: email address, mobile number, suburb (only the wider local government area is public), ABN, GST registration, square-metre rate, discount percentage, minimum project fee, job-notification preference, account status and any internal notes, internal timestamps, and the token behind your unsubscribe link.

Your real name

Your profile shows your first and last name alongside your art alias unless you turn it off. The profile editor has a labelled tick box directly beneath the name fields - “Show my real name on my public profile” - with the option to appear under your alias only. The setting is on by default, including for profiles carried over from the previous Art Roll website (see below). You can change it at any time from your profile.

Cultural identity and community connections - sensitive information

Your profile has an optional section where you can describe cultural heritage, identity, lived experience or community connections: for example First Nations connection, cultural heritage, being LGBTQIA+, or neurodivergence, in your own words. Some of this is sensitive information under Australian privacy law, and we treat it that way:

  • It is entirely optional, and nothing in it is required for a profile.
  • Nothing you enter is published until you tick a separate consent, which appears only after you have entered something. The tick box is never pre-ticked.
  • A live preview shows exactly how an entry will appear on your public profile, rendered the same way the public page renders it, before you consent.
  • Each entry has its own “show publicly” and “include in directory search” settings, and each entry records the time you consented.
  • Entries are reviewed by a moderator before they go live, like the rest of your profile.
  • You can remove an entry at any time; a removed entry is no longer published or searchable.
  • Only add identities or communities you personally belong to or have a meaningful personal connection with; professional experience working with a community belongs in your artist story.

The consent you are asked to give reads:

I understand this is optional. What I add here will be shown on my public artist profile, and each entry becomes a term people can filter and find me by in the artist directory - so commissioners looking for an artist with this connection can reach me. I can remove an entry at any time.

Free-text fields such as your biography and artist story are written by you and may reveal sensitive information without any separate consent step. Please use the dedicated section for anything of this kind you want published, and keep it out of the free-text fields unless you intend it to be public.

Why we use your information

  • To run your public profile and show your murals on the map.
  • To sign you in, keep your account secure and verify your identity when you claim a profile or ask for an account change.
  • To review your profile, profile changes, murals and cultural identity entries before they go live, and to tell you the outcome.
  • To show a “Taking Mural Enquiries” badge if - and only if - you have chosen Yes; it is off by default.
  • To email you about jobs and commission opportunities if you have turned that on; it is a separate switch on your dashboard.
  • To tell you if a member of the public adds one of your murals to the map and a moderator credits it to you - once per mural.
  • To prevent spam, fraud and automated abuse.

Email we send, and email tracking

We send emails needed to run your account: email verification, sign-in links, password resets, and the results of reviews, and we may tell you about significant changes to Art Roll. Job notifications and any promotional email are separate, identify us as the sender and carry a working unsubscribe link; unsubscribing from them does not stop the emails your account needs. Our email provider (Resend) records whether an email was delivered and whether links in it were clicked, and rewrites links so that clicking one is routed through the provider’s tracking address. Profiles carried over from the previous Art Roll website

When Art Roll was rebuilt in 2026, artist profiles from the previous website were carried across. Those profiles were built from publicly available information - names, styles, social links and public work - and the artists were contacted in connection with the original website and invited to supply changes. Some of those profiles hold an email address collected from public sources so we can invite the artist to claim the profile. If one of these profiles is yours, you can claim it, correct it, hide your real name, or ask for it to be removed; replying from the email address we hold for you is enough for us to act on a removal request, and we may ask for reasonable information before handing over control of a profile. If we email you to claim a profile, that email carries a one-click unsubscribe, and we will not email that address again if you use it.

What you can do yourself

  • Edit your public profile and add murals. Changes to an approved profile are reviewed before they go live.
  • Change your email address from your account page; the new address must be confirmed before it takes effect.
  • Change your password.
  • Turn your real name, the enquiries badge and job notifications on or off.
  • Add or remove cultural identity and community connection entries.
  • Ask for your account to be deleted from your account page (see “Deleting your account” below).
  • Ask us what personal information we hold about you, or ask us to correct it, by emailing letsroll@artroll.com.au. Complaints and response times are in the Privacy Policy.

Your images and content

You keep ownership of your artwork and everything you upload. When you save your profile or submit a mural, you make this declaration, and it is what you grant us:

I own these images or have permission to use them, and I give Art Roll permission to use them for marketing - including on Art Roll’s social media.

The same tick records your acceptance of these terms: the first time you save your profile for review we store the date and which edition you accepted, unless that was already recorded when you registered.

In plain terms: you must own each photograph or have the photographer’s permission, and you must not upload images of other people’s work as your own. You give Habitat Marketing Pty Ltd a non-exclusive, royalty-free permission to host, display, resize, crop and format your profile content, mural images and gallery images on the Art Roll website, and to use them to promote Art Roll, you and your work, including on Art Roll’s own social media accounts. Copyright in a photograph and copyright in the mural it shows are separate; where you own both, the permission covers both for those purposes, and where you do not, you must not say that you can license what you cannot.

We will credit you where it is practicable and will not alter your artwork in a way that misrepresents it or is prejudicial to your reputation; technical resizing, cropping and compression to fit the site are expected. If you remove content or delete your account, the permission ends for future use once removal is complete, except for copies reasonably held in backups and material already published that cannot reasonably be withdrawn.

Photographs of your murals contributed by the public

Members of the public can add a mural to the map and contribute photographs of it, without an account. Where that happens with a mural of yours:

  • Nothing is published without a moderator’s review, and a public photograph is only credited to you after a person verifies the attribution - we do not link work to your profile on a stranger’s say-so.
  • Your own images of a mural always take precedence; public photographs are shown after them.
  • We will email you once, when a mural someone else added is credited to you, so you can add your own images or ask for changes.
  • Art Roll does not obtain the mural copyright owner’s prior permission before publishing every photograph of a mural. If you do not want a contributed photograph of your work on Art Roll, ask and we will remove it. The removal link is on the mural page, and what removal does - and cannot do - is set out in the Website & Map Terms.

Accuracy, insurance and qualifications

You are responsible for keeping your profile accurate and reasonably current, including insurance, licences, tickets, qualifications, availability and travel area. Those details are shown as supplied by you and are not independently verified; when you save your profile you confirm they are true and correct. We may ask for clarification or supporting information where a claim could materially affect how someone assesses you.

Enquiries, jobs and what Art Roll is

The “Taking Mural Enquiries” badge is off by default and shows only if you choose Yes; you can change it at any time, and showing it does not oblige you to accept any enquiry. Job notifications are a separate switch on your dashboard and are off unless you turn them on. A notification, listing or enquiry is not an endorsement, a guarantee of work or a promise of payment.

Art Roll helps people find artists and public art. Unless we expressly agree otherwise in writing, Habitat Marketing Pty Ltd is not your employer, agent, representative, project manager or a party to any agreement you make with someone who found you here. You decide whether to take work and on what terms, and you are responsible for your own contracts, pricing, tax, insurance, licensing and safety.

Deleting your account

You can ask for your account to be deleted from your account page. Filing a request does not delete anything immediately: you can withdraw it at any time before we act, and we act within 7 days. Once an administrator completes it, deletion is permanent.

Deletion removes your login, your profile and private details, your avatar, header and gallery images, your cultural identity entries, pending edits, claim and deletion requests, favourites and enquiry messages linked to your account. Murals you added stay on the map as a record of the artwork, unlinked from your account, with your name as a written credit - tell us in the request if you want your name taken off them too. Credits on another artist’s mural, including collaborator credits, may need separate review. Photographs of your murals that members of the public contributed are unaffected by your deletion and can be removed on request separately.

We keep a small audit record that the deletion happened. It never includes your email address. It includes your display name for 30 days, so we can answer “did you delete my account?”, after which the name is removed automatically and the record shows only the date, which administrator actioned it, whether your name was taken off murals, and which stored files were removed. Copies can also remain briefly in our providers’ backups until those cycle.

Your account, and when we may close it

Keep your sign-in details secure and tell us promptly if you think your account has been compromised; you are responsible for activity carried out through it. We may suspend or close an account where reasonably necessary for security, repeated or serious breaches of these terms, fraud, impersonation, unlawful content, abuse of other users, or conduct that creates a material risk to Art Roll or the community. Where appropriate we will give you a chance to fix an issue first, and we distinguish between moderating a piece of content and closing an account.

Changes, liability, law and contact

We may update these terms where the site, the law or the way the service operates changes, and will give reasonable notice of a material change that is likely to affect your rights. Changes apply from their stated date and do not retrospectively remove rights already accrued. To the extent the law allows, we do not guarantee profile traffic, enquiries, jobs, commissions, search ranking, income, or the conduct of people who contact you through the site. Nothing in these terms excludes rights that cannot lawfully be excluded, including under the Australian Consumer Law.
